Privacy Policy

Effective date: August 5, 2026

SwingBook provides (a) a business platform and website for independent golf coaches at swingbook.golf, and (b) a companion student app for those coaches’ students. This Privacy Policy explains how SwingBook (Aron Ingebrigtsen, sole proprietor) (“SwingBook,” “we,” “us”) collects, uses, and shares information across both, and the choices you have. It is organized in two parts: Part A covers coaches and the swingbook.golf platform; Part B covers students and the SwingBook student app (and matches what we declare on our App Store privacy label). By using the Service, you agree to this Policy.

Part A — Coaches & the SwingBook platform (swingbook.golf)

1. Who this covers

  • Coaches — the account holders who use SwingBook to run their coaching business.
  • Students / clients — the coach’s clients. A coach enters some student information to manage bookings and lessons, and for that information SwingBook generally acts on the coach’s behalf (see §7). Students do not create a coach account. Students may separately use the SwingBook student app by redeeming an invite from their coach — that app and the account it creates are covered in Part B below.

2. Information we collect

Information coaches provide:

  • Account & profile: name, email, password (stored securely by our auth provider), and optional phone number, business/booking-page details, credentials, photo, and tagline.
  • Billing: subscription plan and payment references. We do not store card numbers — payments are handled by Stripe (see §6).
  • Content you create: lesson packages, classes, availability, notes, and settings.

Information coaches enter about their students:

  • Student name, email, and/or phone number; lesson and booking history; package/credit balances; and coaching records (skill ratings, goals, notes, handicap entries, progress reports). See §7 and §8 (minors).

Payment information: processed by Stripe — coach subscriptions via Stripe Billing, and student lesson payments via Stripe Connect (the coach is the merchant). We receive limited transaction references (e.g., a payment ID), not full card details.

Information collected automatically: IP address, device/browser type, pages viewed, and log/usage data, collected via standard server logs and our providers (including Cloudflare). We use essential cookies for sign-in/session; we do not use third-party advertising trackers.

3. How we use information

To provide, operate, and secure the Service; create and manage bookings, packages, and lessons; process subscription billing; send transactional communications (confirmations, reminders, progress reports, and account/service notices); provide support; detect and prevent fraud, abuse, and security incidents; comply with law; and improve the Service.

4. Communications (email & SMS)

We send transactional messages by email (via Resend) and, if enabled, SMS (via Twilio) — e.g., booking confirmations, reminders, and progress reports. You can opt out of non-essential emails via the unsubscribe link, and of SMS by replying STOP. See our Messaging Policy at swingbook.golf/messaging-policy. Coaches are responsible for having the necessary consent to contact their students (§7).

SMS specifics. If you opt in to text messages, message frequency varies (messages are tied to your lesson activity — reminders, reschedules, and prompts to book prepaid lessons). Message and data rates may apply. Reply HELP for help or STOP to opt out at any time. We do not sell or share your mobile number or your SMS opt-in information with any third party or affiliate for their own marketing. Your number is used only to send the transactional lesson messages described in our Messaging Policy.

5. Shareable progress links

The Service can generate a shareable link to a student’s progress report — an unguessable, non-indexed web page (blocked from search engines, no referrer leakage, first name only). Anyone who has the link can view that page. The coach controls whether and with whom a link is shared and can regenerate or revoke it.

6. How we share information — service providers (subprocessors)

We share information with vendors who process it on our behalf to run the Service, under their own terms and safeguards:

  • Supabase — database & authentication hosting
  • Railway — application hosting
  • Stripe — payment processing (subscriptions + coach lesson payments)
  • Cloudflare — DNS, CDN, security, and inbound email routing
  • Twilio — SMS
  • Resend — email delivery
  • A QR-code image service — generating booking QR codes

We may also disclose information to comply with law or valid legal process, to protect rights, safety, and security, or in connection with a business transfer (merger, acquisition, or sale of assets). We do not sell your personal information, and we do not share it for cross-context behavioral advertising.

7. Coaches as controllers of their client data

A coach decides what student information to enter and how to use it. For that student information, the coach is the controller and SwingBook is a processor acting on the coach’s instructions to provide the Service. Coaches are responsible for having a lawful basis and any required consents to collect and use their students’ information, and for responding to their students’ privacy requests. Students who want to access, correct, or delete information a coach entered should contact their coach; we will assist the coach as needed. (Information in a student’s own app account is addressed in Part B.)

8. Minors

Golf students are often under 18. The SwingBook coach platform is a business tool for coaches and is not directed to children, and we do not knowingly collect personal information directly from children through it. Where a coach enters information about a minor, the coach is responsible for obtaining any consent required from a parent or guardian. Children’s privacy for the student app — where a minor’s account is set up with a parent/guardian and we record parental consent — is covered in Part B. 9. Your privacy rights

Depending on where you live, you may have rights to access, correct, delete, or port your personal information, or to object to or restrict certain processing. Coaches can exercise these rights for their own account data by contacting us; requests about information a coach entered about a student go through the coach (§7), while a student’s own app account is handled under Part B. To make a request, email [email protected]. We will verify and respond as required by applicable law.

10. Data retention

We retain information for as long as your account is active and as needed to provide the Service, then for a reasonable period to comply with legal, tax, accounting, and security obligations. You can request deletion of your account data at any time (see the Terms, §15); some records may be retained where required by law.

11. Security

We protect information using measures including encryption in transit, database access controls (row-level security with access only through our server), and reliance on Stripe for payment data. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

12. International users

The Service is operated in the United States; if you use it from elsewhere, your information will be processed in the U.S.

13. Changes to this Policy

We may update this Policy from time to time. We will revise the effective date and, where appropriate, provide additional notice. Continued use after changes take effect means you accept the updated Policy.

Part B — The SwingBook student app (students & parents)

This part applies to the SwingBook student app and to swingbook.golf as they are used by students (and, for minors, their parents/guardians). It matches what we declare on our App Store privacy label. If you are a student under 18, a parent or guardian must set up your account and consent on your behalf (see “Children’s privacy” below).

Information we collect

We only collect what we need to run the service:

  • Account information — your name and email address, provided when you (or, for a minor, your parent/guardian) redeem an invite from your coach. For a minor, we also collect a parent/guardian email address and record parental consent.
  • Your golf information — content you create in the app, such as your goal, club distances, round scores, shot data, and skill self-ratings. This is shown to you and shared with your own coach.
  • Profile photo — if you choose to add one.
  • An account identifier — a user ID we use to keep your data associated with your account.

We do not collect a physical address, and we do not use any third-party analytics, advertising, or tracking software in the app.

Location

When you use the on-course features, the app uses your device’s GPS to calculate distances (for example, distance to the green). This location is used on your device only — it is not stored on our servers, not transmitted to us, and not shared with anyone. Only the resulting golf information you choose to save (such as a recorded shot distance) is stored.

How we use information

We use your information to:

  • create and secure your account;
  • connect you with your coach and let them see your progress;
  • show your lessons, distances, goal, and history in the app;
  • provide, maintain, and improve the service.

We do not sell your personal information, and we do not use it for advertising or to track you across other companies’ apps or websites.

Who we share information with

  • Your coach. The purpose of SwingBook is to connect you with your golf coach, so your coach can see the golf information and profile associated with your account.
  • Service providers. We use trusted vendors to run the service (for example, hosting and database providers, and Stripe for payments; see the subprocessor list in §6). They may process data only to provide services to us.
  • We do not otherwise share your personal information, except where required by law.

Payments

Lessons are scheduled and paid directly with your coach, in person or through your coach’s payment processor (Stripe). Payment card details are entered outside the SwingBook app and are handled by Stripe; SwingBook does not receive or store your card number.

Children’s privacy

SwingBook may be used by students under 13. We take this seriously:

  • A student’s account is set up with a parent/guardian’s involvement, and we record parental consent.
  • We collect only the information needed to provide coaching features.
  • We do not show advertising, and we do not use tracking or third-party analytics.
  • A parent/guardian may review, update, or request deletion of their child’s information at any time using the contact below.

Your choices and rights

You (or a parent/guardian, for a minor) may:

  • access and update your information in the app;
  • request a copy of your information;
  • request deletion of your account and associated information.

To make a request, contact us at the address below. We will respond within a reasonable time and as required by applicable law.

Data retention

We keep your information for as long as your account is active or as needed to provide the service, and then delete or de-identify it, unless a longer period is required by law.

Security

We use reasonable technical and organizational measures to protect your information. No method of storage or transmission is 100% secure, but we work to protect your data and limit access to it.

Changes to this policy

We may update this policy from time to time. If we make material changes, we will update the effective date above and, where appropriate, provide additional notice.
