This Privacy Policy explains how [LEGAL ENTITY NAME — TBD] (“SwingBook,” “we,” “us”) collects, uses, and shares information in connection with the SwingBook service at swingbook.golf (the “Service”). SwingBook is software that lets golf coaches create accounts, set up a booking page, manage lessons, classes, and students, and (in the future) take payments. Clients book lessons or sign up for classes as guests, without creating an account.

1. Information we collect

We collect the following categories of information:

  • Coach account & profile. When a coach signs up, we collect an email address and password (handled by our authentication provider), and profile details the coach provides — name, business/location, service area, ZIP, bio, photo, notification preferences, and chosen subscription plan.
  • Client/student information entered by coaches. Coaches may add their students’ names, email addresses, phone numbers, and notes to their roster. Coaches are responsible for this information (see Section 5).
  • Booking & class sign-up details. When a client books a lesson or signs up for a class, we collect the name and email (and optionally phone) they enter, along with the selected package/class, chosen time, and any focus areas or notes they provide.
  • Payment information. Payments (when enabled) are processed by Stripe. We do not collect or store full card numbers; Stripe handles card data directly. We may store limited payment-related identifiers (e.g., a Stripe customer or account ID) to operate billing.
  • Cookies & session data. We use cookies necessary to keep coaches signed in and to operate the Service (see Section 6).
  • Technical & usage data. Like most websites, our servers and infrastructure providers may log basic technical information such as IP address, browser/device type, and timestamps for security and reliability.

2. How we use information

  • To provide, operate, and maintain the Service (accounts, booking pages, scheduling).
  • To process bookings and class sign-ups and to deliver related notifications (e.g., emailing a coach when a client books, if enabled).
  • To process subscriptions and payments through Stripe (when enabled).
  • To secure the Service, prevent abuse, and troubleshoot.
  • To communicate with coaches about their account and the Service.
  • To comply with legal obligations.

3. Third-party services (subprocessors)

We rely on the following service providers to operate SwingBook. They process data on our behalf under their own terms and privacy policies:

  • Supabase — database, authentication, and file storage.
  • Stripe — payment processing and subscription billing (when enabled).
  • Cloudflare — network/tunnel and delivery of the Service.
  • QR code image service — generates QR codes for coach booking links from the link URL.

We do not sell personal information. We may disclose information if required by law or to protect our rights, users, or the public.

4. Cookies & sessions

We use cookies that are necessary to authenticate coaches and keep them signed in. These are essential to the Service. We do not use the cookies for advertising. Clients booking as guests are not required to sign in.

5. Coaches are responsible for client data they enter

Coaches who add student or client contact information to SwingBook are responsible for having the appropriate rights and consent to provide that information, for its accuracy, and for using it in compliance with applicable laws. With respect to their own students’ data, the coach is the party that determines how it is used; SwingBookprocesses it to provide the Service.

6. Data retention

We retain information for as long as an account is active or as needed to provide the Service, comply with our legal obligations, resolve disputes, and enforce our agreements. Coaches may request deletion of their account and associated data as described below; some information may be retained where required by law or for legitimate business purposes.

7. Your rights & choices

Depending on your location, you may have rights to access, correct, or delete personal information, or to object to or restrict certain processing. If you are a client whose information was entered by a coach, please also contact that coach, who controls their roster; we will assist as appropriate.

8. Children’s privacy

The Service is intended for coaches operating a business and is not directed to children. We do not knowingly collect personal information directly from children under 13 (or the age defined by local law). If a coach uses SwingBook in connection with minors’ lessons, the coach is responsible for obtaining any required parental/guardian consent for the information they enter. If you believe a child’s information has been provided to us improperly, contact [CONTACT EMAIL — TBD] and we will take appropriate steps.

9. Security

We use reasonable administrative and technical measures (including authentication and access controls) to protect information. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

10. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above and, where appropriate, provide additional notice.
