Messaging Policy & SMS Consent

1. Overview
SwingBook operates a compliant SMS messaging program for golf-lesson logistics. SwingBook is booking-and-business software for independent golf coaches; with the coach’s setup, SwingBook sends transactional text messages to a coach’s students about their lessons (reminders, rescheduling, and booking the lessons they’ve already purchased). This page documents how consent is collected and managed, for A2P 10DLC registration.

- Use case: Transactional lesson notifications (appointment reminders, reschedule invitations, and prepaid-lesson scheduling) sent to a coach’s students.
2. Message types — transactional only
SwingBook sends only transactional / informational messages related to a student’s lessons. SwingBook does NOT send marketing or promotional SMS. Transactional messages include:
- Reschedule invitations when a lesson is missed (“let’s find a new time”).
- Reminders to book prepaid lessons a student already owns (“you have 2 lessons left — book your next one”).
- Lesson confirmations / reminders (where the coach enables them).
Promotional offers, upsells, and win-back campaigns are not sent by SMS.
3. Who receives messages & how consent is collected
Recipients are students of a coach who uses SwingBook. Consent is collected in one way, and it always comes from the student:
- At booking or purchase: when a student books a lesson or pays for a package on their coach’s SwingBook page, they provide their mobile number and check an opt-in box agreeing to receive lesson text messages. The box is not pre-checked, consent is not required to book or pay, and the box appears after payment so it never gates a purchase.
A coach cannot opt a student in. Consent is given by the student, from their own device, or it is not given at all. Consent is recorded per student (a consent flag + timestamp) and honored until the student opts out.
4. Consent language (shown to the student)
By checking the box, the student agrees to receive texts on these terms (the exact on-screen wording is shown in “What the opt-in looks like” below):
Text me lesson reminders from {Coach} via SwingBook. By checking this box, I confirm this is my mobile number and I agree to receive automated transactional text messages about my lessons (reminders, rescheduling, and booking lessons I’ve purchased). Message frequency varies with my lesson activity. Message & data rates may apply. Reply STOP to opt out at any time, or HELP for help. Consent is not a condition of booking.
What the opt-in looks like
This is the opt-in exactly as a student sees it — shown on the booking/payment confirmation screen, after they complete a purchase. The box is not pre-checked. The preview below is for reference only: it is not interactive and submits nothing.
5. Opt-out & help
- STOP — reply STOP (or UNSUBSCRIBE/CANCEL/END/QUIT) to any message → texts stop immediately and a confirmation is sent. The opt-out is recorded so no further messages are attempted.
- HELP — reply HELP for help, or contact [email protected].
- Any reasonable method — however a student communicates that they want to stop (telling their coach in person, or emailing [email protected]), we honor it promptly. This is our human commitment to act on any opt-out request, not a separate in-app control; the instant, reliable path is to reply STOP.
- Quiet hours — messages are not sent overnight (outside roughly 8am–9pm).
6. Sample messages
- Reschedule: “Coach Jeremiah (via SwingBook): sorry we missed you today — grab a new time: https://swingbook.golf/reschedule/… Reply STOP to opt out.”
- Booking a prepaid lesson: “Coach Jeremiah (via SwingBook): you’ve got 2 lessons left — book your next one: https://swingbook.golf/schedule/… Reply STOP to opt out.”
- Reminder (if enabled): “Coach Jeremiah (via SwingBook): reminder — your lesson is tomorrow at 2:00 PM. Reply STOP to opt out.”
7. Message frequency
Frequency varies with the student’s lesson activity (e.g., a reminder around a lesson, an invitation after a missed lesson). These are event-driven transactional messages, not a recurring campaign.
8. Data handling
- Mobile numbers and consent records are stored securely in SwingBook’s database, which is not exposed publicly (access is restricted to SwingBook’s application).
- SwingBook records each student’s consent (with a timestamp) and opt-out.
- SwingBook does not sell or share students’ mobile numbers or SMS opt-in data with third parties for marketing. Numbers are used only to deliver the lesson messages described here, via our messaging provider (Twilio).
